Accounting/Human Resources Assistant - JB Lyndhurst

Job Purpose

The Accounting/Human Resources Assistant is responsible for payroll, human resources, and accounting tasks that support the accounting and human resources functions at Julie Billiart Schools.

Duties and Responsibilities

The following is a list of primary duties and responsibilities. Other duties to be assigned as needed. Supervision Received

Reports to and is evaluated by the CFO with a dotted line reporting to the Human Resources Manager. The Accounting/Human Resources Assistant will receive guidance from the CFO and Human Resources Manager.

ACCOUNTING

Accounts Payable

  • Audit incoming invoices and other payment requests for appropriate coding and authorizations.
  • Enter purchasing payables into accounting system for payment processing
  • Review petty cash replenishment requests for accuracy and completeness.
  • Handle vendor communications, resolving any billing disputes.
  • Maintain vendor files, including contracts for services.
  • Provide sales tax exemption forms to vendors.
  • Obtain W-9 forms form vendors.
  • Assist with preparation of annual 1099s.

Credit Cards

  • Review credit card statements for proper coding.
  • Maintain support for credit card transactions following up with card users to ensure that documentation is received for each transaction.

Beyond Camp

  • Responsible for tracking enrollment to ensure that all participants are invoiced correctly.
  • Manage funding from outside sources to ensure that scholarship funding, county funding, etc. is appropriately applied to accounts.
  • Ensure that receivables are collected prior to the start of camp.

PAYROLL

Payroll Processing

  • Maintain employee records
  • Process bi-weekly payroll and special payrolls, as required
  • Process 401K remittance
  • Assist employees with all issues related to payroll
  • Ensure that employee benefit deductions are processed correctly

HUMAN RESOURCES

Employee Benefits

  • Manages the benefits enrollment process including benefits changes, terminations, etc.
  • Allocates and reconciles monthly benefits including health insurance, life insurance, workers compensation, and unemployment compensation.

Contracts

  • Drafts annual contracts for new hires and returning employees for all Julie Billiart campuses under the direction of the Human Resources Manager.
  • Drafts Beyond Camp contracts for camp employees under the direction of the Human Resources Manager.

Onboarding

  • Assists Human Resources Manager with onboarding new employees including entering information into the human resources module of the payroll system
  • Assists Human Resources Manager with fingerprinting new and established employees

Hiring

  • Assists with interview schedule, scheduling interviews and sending pre-established communications to interview candidates under the direction of the Human Resources Manager.

Administrative

  • Creates employee personnel and medical files
  • Creates HR job files
  • Ensure all records are compliant with EEOC guidelines
  • Archive HR documents per the record retention federal and state established regulations
  • Filing of documents as needed

Professional Development

  • Participates in continuing education and professional development and other training programs offered to increase skill and proficiency related to the assignment
  • Participates in training required to understand systems used by the organization including accounting and payroll software

Performs other tasks and duties and assumes other responsibilities as may be assigned by the CFO and HR Manager.
